Who can teach (and help) Nitin how to make a budget summary?

We're trying to develop the Vadgam sports club. As such, we need to make a budget summary so that we know how much we need, how much we have and what we should do to be able to reconcile the two. :-)
Project: Help Village Development Project

First step will be to know a little bit more about the things the Vadgam sports club whishes to do and which supplies they require. If I read the project well, they are trying to organise a cricket tournament. For example: do they need cricket balls? Do you need food and drinks during the tournament? Do you think you can sell them for cost of supply or maybe even at a small profit during the tournament?

Thanks for your vews and ideas.food and drinks during the tournament is not possibal. its not possibal to sell,because this is not a big tournament,But we need some funds for organise all the activity,I mean mainten the ground,sport equipments.we collect a fees from all the team participate and thats way we collect some small amount as a profit but real cost for all the preparation is req first.

I see. So if I understand it correctly you wil have the following costs:
- sportsground
- sports equipment
And the following sources of income:
- contribution of participating teams
- donations etc.
I understand it is not a big tournament, but my experience with small tournaments in The Netherlands is that by finding someone who is willing to cook some food and prepare some drinks (like somosa and lemonade) can give you a bit extra income. Even at small tournaments there will be some local people coming to watch, but I don't know if people in India are used to take their own food and drinks to such small events.
I don't know the local prices (never been to India), but I've added a simple sample budget in the attachment. Just fill in the green cells with the information you have and it will tell you if you have a bit of profit or if you need additional funds. I filled it with text and numbers just for illustration, don't hesitate to overwrite them.
It is in ODF-format it can be opened with OpenOffice (you can download it for free in a lot of languages at http://www.openoffice.org). If you prefer a microsoft excel file please let me know.

About the food and drinks for the tournament, I think this is a good idea. :)

I was just thinking, maybe we can sell food and drinks for the tournament. Some people might be thirsty and would like to drink and since they're too tired to go home and get themselves a drink, they might want to buy drinks from us. Food also follows. We don't hve to see extravagant good food. We just need to provide the basics - something to drink and something to eat. What do you think?

I've not put in cost or income for food or drinks, because I don't have enough knowledge about the local circumstances in Vadgam to know if selling them would be a good idea.

Thanks for take responsibility for this task.Yes we are looking for cost for Sport equipments and sport ground.we need to try to get from contribution of participating team,donation,sponsership etc.Food and drink selling is not possibal.we will think on that latter when sport club looking some better.People in village take own food.but definately it will be happen once sport club well develope and we are planning to some good tournaments in future.
I prefer a microsoft excel file,so pl send me file again with excel format.

Dear Nitin,
I added the totals tot the shared document. So it now shows how much money you still need to organise the tournament. The total costs exceed the total revenue with Rs. 132,000. This means you will need to find additional financial resources to organise this tournament.
When looking around the projectpages I found a letter about auctioning sportsgear. Are you still planning to do so? If so, do you have any estimate about how much money you hope to collect that way? That way we would better know how much money to raise by fundraising or donations.

Sorry for not responding soon this time. Most Dutch NGO's I know use local partner organisations to distribute the money to local projects. That makes it difficult for me to assist, but I'll see what I can do. I 'll try to contact some people I know working at Dutch NGO's.

about john, our videographer, he's still looking for funds for the the fare to vadgam. i'll research online... but what are the planes that fly from canada/us to the nearest airport when going to Vadgam? that's his only problem. the equipment, editing, etc. are all going to be provided by him.
also, as of our last conversation, he said that sony has not yet replied. however, it usually takes a long time for these companies to reply. so, we still have hope.
about fundraising for our future expenses... let me see what i can think of... what about that air balloon that was suggested the last time?

Sorry for late respone.
No Problem Anna,when it is posibal it welcome,but it more importanat to visit in octobar-november becuase that time we are going to organise a village cricket tournament and will be helpfull us to take better vediography. The nearest airport from vadgam is Ahmedabad.From ahmedabad to vadgam 150km away by road.If john arrange to visit vadgam he need to take journey 150km ahmedabad to palanpur by road or train .I will receive him palanpur and than move to vadgam 14km away from Palnpur.There is a lots of vehicle and trains availabal from ahmedabad to planapur.
