Tim, Ilona and Leonie - forming one of the Dutch student groups helping Yoshinkhel as neighbours - asked the question how returns are handled. Good question!
If we want to export the products the women produce we will need to define terms and conditions for the export, returns, etc. ! Can you help us with that?
I found following from another site. Neighbours are requested to check some example so we together can develop Terms & Condition of Export.
1. Pricing
The price quoted in this web catalog are wholesale FOB Kathmandu which includes local custom clearance, packaging and local taxes. Freight charges/Shipping charges, Insurance and import taxes if any are payable by the buyers. We use both sea and air freight mode of shipment as per client's instruction for large size order. We also deliver goods door to door via DHL/TNT express courier service on very competitive wholesale rate for small order below 100 kg weight. This method is very convenient for retail shops in USA, Europe, Australia and Japan.
2. Stock
Though the stock shown on the website are one or two pcs,you may order any quantity while ordering. Average stocking of products ranges from 10 to 100 pcs of each item.
3. Delivery
Delivery will be made within one week upto three months maximum depending upon size of order. However, we will give you exact delivery date at the time of order confirmation. For small order we deliver goods within a week depending upon stock availability.
4. Payment Methods and Procedures
We accept bank telegraphic transfer and bank draft. We also accept Credit Card(Master, Visa etc), echeck payment via Paypal ( https://www.paypal.com ) or bank transfer in Nepal or in USA bank account which is convenient for USA/Canada customers. We will give you address/account for such payment once order is negotiated. For large order customers may want to open L/C . Order exceeding 1000 $ we need an advance of 25% for first time buyers.
4. Shipping and Custom Policies
We will use most convenient and efficient mode of shipping. Normally goods are shipped via air freight but, upon request and with sizeable weight and volume we can arrange for sea shipping. For order below 100 Kg we advise buyers to use DHL/TNT express courier door to door service that delivers within 4 to 5 business days. Retailers may order in small quantity for which we will make delivery up to the door step of the clients and pay us through their credit card. Please write to us for details. We also ship even a single piece for final consumers.
5. Insurance
Insurance can be arranged for shipment upon request.
6. Custom Orders
We accept custom order or buyer's specific design. We provide exclusively design as per request. Please send your request with details.
7. Errors on Pricing and Cancellatin of Orders
We reserve the right to cancel an order or request for price change due to price errors printed on the webiste due to technical problem or any other reasons. We will ask further instruction to customers whether to readjust the price or cancel the order. Once order is confirmed, the price will not change.

Very concretely we need to establish terms and conditions if we want to sell the women's products on http://www.etsy.com/ where we could immediately start to sell. Who could help with internet research of what conditions other sellers (on the etsy website, for example) offer and draft something fitting for Yoshinkhel together with Sabina?

If you are interested in importing our products, we request you to follow some important rules and regulations imposed by the Nepalese Government.
Shipping Rates:
Shipping Charges depend on the gross weight of the shipment. If the shipment gross weight is high, the shipping rates come down; if the weight is lower the rates go up. Shipping rates can be providing upon demand.
Leading Time:
Since we wish to have the best quality and best service for our customers at all times, we don't rush things and take enough time to handle everything well. Leading time depends on the volume of the placed order. From the day the payment is arranged, it normally takes US one and half month to 3 months to finish the fabrication of orders of maximum quantity.
Leading time depends on the way to shipping as well. If you ship by air cargo, it normally takes 4 to 7 working days from Kathmandu to any destination. Sea cargo takes 1 up to 3 months, depending on the buyer's destination.
Customers are free to choose for either air or sea cargo, but we strongly advice to choose air cargo as it is safer, more reliable and faster.
Production Capacity:
We can product 10,000 to 15000 pieces accessories every month.
How to place order?
Please let us know which products you wish to order; the code number colours, sizes and quantity are the information we need to receive through wish list by email, or by fax we will always send a confirmation of your order by email or fax.
How does payment work?
As per our Nepalese government rules on exporting goods, we have to show to the customs office an Advanced payment Certificate (APC). Our bank gives us this certificate only after your payment has arrived on our company account; without the APC, we can not export anything out of Nepal .
So that we highly request you to pay your invoice as soon as possible once your order is confirmed.
Once the order is confirmed, we will send you the confirmation of the order and the official invoice.
You can pay us:
• By bank transfer, to our company account in Nepal . Transfer costs to be beared by customer.
• By LC (Letter of Credit) for orders of bigger quantity.
You can choose to pay:
• 100% at once, or
• 70% before starting the production and 30% after finished the production and shipment is ready to send. These are company regulation and we can not make any exceptions.
Claim Policy:
We check every single piece of your order before shipping: there is hardly Chance of deficits, Sometime very small deficits might be found though since. All our products are handmade by crafts people but we don't want you to be unhappy about buying from Nepal Knitting House, so that we request you to check the products when receive them in case you do find any problem, Please inform us with in one week after receiving the goods by email or fax in that case we give replacement. We will not accept any reclamation one week after receiving the goods. Goods damaged due to transportation will not be replacement.
Note: - Please be a ware that all our products are hand made by craft people so we tolerate small color and size difference for our products.
Shipment process - Choose shipping type from the options
As we believe in quality and competitive services, we are offering different types shipment.
Shipments by Land-Sea cargo
Since Nepal does not have direct sea port, we transport the goods to Calcutta port by land then will be loaded in a ship to the destination. This is the cheapest way of transporting the order from Nepal but the only disadvantage is the longer delivery duration (average 40-50 days). If you are planning the order for next season, DO NOT delay to process your order so that we will have enough time to make the order perfect and ship it via Land-Sea ($1 or even less for the order of 500 kilos plus). The order should be collected from the nearest sea-port appointing handling agents or by your own.
Shipments by Air Cargo
Air cargo shipment is most common and practical way of receiving your orders on time and cost saving. If your orders volume is 100 kilos plus then air cargo is the best. Receive your order starting from one week to 10 days. Please click here to find the list of some popular destination and their air freight. Air cargo will deliver the order in specified airport so that the customer or their handling agent should collect it.
Shipments by Air Couriers
Shipment using courier services are the best for relatively smaller orders and samples as they deliver the orders in 4 to 6 days at your doorstep. Creation Nepal uses most reliable couriers like DHL, FedEx, UPS etc. because they are easier to work with due to their fast and home delivery services. Since Nepal is very far from the western countries; the shipping is comparatively expensive. These courier companies have expensive rates for the smaller packets but if the orders are more than 25 kilos, the approximate shipping would be US$ 8 to $14 per kilo (depending on the volume and the destination). These courier companies will act as your custom agent to release the goods and delivers the packets at your home. The courier companies does not charge you for their own services at the custom BUT if there is custom duties applies on the orders, then thy will reimburse the money from the customer later at the orders delivery time.
How to work - Ordering procedures
Orders can be processed via email or fax as well as in person. Delivery will be estimated according to the size of the order . Orders can be made from any of the attached photographs with number references stated or your own samples or specs can be sent to us and we will manufacture accordingly. We prefer to have measurements or sizes for your own models or designs. Proof samples can be sent prior to confirmation of orders if required by our customers.

Direct ordering through the website is the best; no need to register to order. Add the minimum or more items in the cart like you can do at any other shopping sites, once you complete adding the items on the cart go to "checkout" button then you will be asked to fill your shipping detail. Here the shipping charge is based on the country of your shipping. Then tick at one courier company of your interest (the shipping rates are different in each company's policy even for the same destination), leaving it as is will take DHL by the system default. Then clicking "continue" button will take you to the payment option whether to pay by credit card or forward the payment by money transfer Services (Western Union Money Transfer or MoneyGram). After selection of the payment options please click on "Continue" button that will pass you to our payment processing gateway www.2checkout.com. Please note that we do not take your credit card information so that it is a risk-free transaction because www.2checkout.com or 2CO is one of the most reliable worldwide merchants to process your credit cards for safety and trustworthy.
If you are sure about the transaction amount then click on "Save and checkout" button that you bring you to a simple page showing order number and the amount, then click "Continue" where you will be asked to fill your credit card detail. Please fill the billing information and click on "Complete Order Now" button. As soon as the order is complete an email describing your order detail will be sent to you by our system automatically. Then further procedure to avail the product will be performed on our behalf (the order shall be ready in one week to 4 weeks depending on the volume of the order; most of the orders are dispatched in 2 to 3 weeks). Wholesale buying
We are providing services to two different types of customers (retail buyers and wholesale buyers) based on their interest and order volume. Normally we are providing the special user access codes to see our wholesale information after we complete the simple verification process asking them to submit a information from. When you are authorized to access the wholesale information you will be entitled the discounted product rates if you buy the specified quantities of each individual product but if you only add the minimum required quantity (less than the said wholesale quantity), then NO discounts will appear on the invoice.
Returns and Cancellation
We don't want anybody to be unhappy about buying from Black Yak so you are, of course, able to cancel your order at any time before dispatch and if the goods are faulty in any way or we have made a mistake with the order and we are notified within seven days, we will immediately send replacement goods at our expense and refund you the cost of returning the goods to us.
If you wish to exchange any item you may do so within 14 days of receipt of the order. Simply return the item to us in perfect condition and we will dispatch a replacement free of charge for your first exchange. Please let us know by email or 'phone that you are returning the item so that we can sort out a replacement for you as soon as possible and also please get a proof of postage form from the Post Office or your shipper. You also have the right to cancel the order, without reason, within seven days of the receipt of the order, starting the day following delivery, providing that the goods are returned to us, at your cost, in perfect, resaleble condition. In the case that your original order was out of stock and we supplied you with a substitute product the cost of returning the substitute item will be borne by us.
Your payment will be refunded within 30 days of the cancellation of the order. If the goods have not been returned to us within 30 days, we reserve the right to collect the goods and deduct the cost of collection from your refund.
Sabina- we can cut and past most of this however you need to tell us which bits do not apply to your group. see for example these T&C's say they can provide up to 10,000 pieces a month. I am sure this is not true for Yoshinkhel Craft. Also the otptions around shipping and cargo etc...do they apply to your group?
You are the best person to advise these things.

Tks for suggetions. I just add from my side what can i apply for current situation.
As suggested by you, we will add or modify later.
Since we do not have experience of export of our own goods and also we do not have registered firm to export. Social organization is not allowed to export. To lower the risk, we can use existing exporter's firm and export through their firm in the beginning for big size of order.
Payment : we need advance payment
Payment procedure: when order is confirmed, they will be informed how to transfer.
For few peices, we can use courier service (door to door delivery).shipping cost must bear by customer. Courier will be informed at the time of placing order.
Price: there are two method
1. Production cost with certain profit margin(till now we are calculating this cost)
2. FOB cost
For FOB cost ,we will try to find out local clearance charges and taxes and other charges if applicable.
Order: minimum 10 pieces
Delivery time: depend upon size of order so we can only advice upon receiving order.

Hi Sabina and everyone,
I have gone through the Terms and Condition examples which Sabina has posted here and her responses to some of my queries.
I have a concern which needs to be clarified.
If we offer the woolen products on the Yoshkhel Craft website (currentyly being developed) and etsy.com and even e-Bay- we need to be clear if we are offerring customers the opportunity to purhcase one item at a time OR NOT.
The examples of the T&C and Sabina's responses give me the impression that any orders have to be for 10pieces or more. This will automaticlly rule out the casual shopper on eBay or etsy.com
If we only want to offer the goods to wholesalers or people who want to by in bundles of 10 or more then we must make this very clear in any advertising/marketing we do.
IF we DO want to offer one piece at a time then, Sabina, you need to give information to us about whether you will be able to mail these products all over the world.
This matter really needs clarifcation becasue it will impact on how we write the Terms and Condt's and also how we sell the products on the website.

Hi Carolyn,
That is true our terms and conditions must be clear. As we will be using courier for all few product , it is no problem to send all over the world. But it will cost more for customer to buy one piece considering courier charge.Courier will charge at weight basis and they charge same rate upto 500 gram. If we ignore the high cost for one piece, no problem we can accept 1 pc order too. We can try with this. Later we will modify.

I'm wondering how to include it in the marketing strategy - either to keep shipping costs strictly apart, or to give incentives to people to buy more, as in presenting it as a kind of discount people get for ordering more...

There are 2 groups of consumer for Yoshinkhel products: 1) casual retail buyers 2) wholesalers
The terms and conditions for the casual buyer need to address their expectations: i.e- if they order one muffler or gloves, how much will it cost them to have that couriered or mailed, and what are the rules and regulations around that?
The second consumer group are those who would be buying 100piece for example. Again, we need to set clear expectations about how much thier shipping costs would be, form that need filling etc, and what rules and regulations there are for exporting these goods out of Nepal.
